Profile tags

A Parent Events profile is the persistent record of an attendee at your school, linking together everything that person does across all of your events. Profile tags are short, colour-coded labels you can attach to those profiles to categorise and identify people in a way that suits how your school works. Common examples are something like First Aid Certified, Year 9 Caregiver, or Board Member.

Profile tags are for your staff only. They are never shown to attendees, and they do not appear on attendee timetables, name tags, the event website, or any emails. They exist purely to help your team organise and recognise people behind the scenes.

Creating tags

Tags are defined once for your whole account and then become available to apply to any profile. To manage them, open the Settings section and choose Profiles.

From here you can add a new tag by giving it a name and choosing a colour from the available palette. The palette is fixed so that tags stay visually consistent and remain easy to read wherever they appear. You can edit a tag's name or colour later, or remove a tag you no longer need. Removing a tag also clears it from every profile it was attached to.

Showing a tag on reports

Each tag has a Show on reports option. When this is turned on, the tag is included in your staff booking and registration reports, such as the booking list, registration list, and booking comments, so the people running an event can see at a glance who is tagged. Tags with this option turned off are still visible when viewing a profile, but are kept out of those reports to avoid cluttering them.

Applying tags to a profile

You apply tags to an individual profile rather than to a single booking, so a tag stays with that person across every event they take part in. Open the attendee from an event's registrations or from one of their bookings to view their profile, then choose the tags that apply to them. You can add or remove tags on a profile at any time, and the change is saved immediately.

Where tags appear

Once a profile is tagged, the tags are visible to your team in a few places:

  • On the profile itself, whenever a staff member views it.
  • On staff booking and registration reports, for any tag that has Show on reports turned on.
  • In your account insights, where the spread of tags across profiles can help you understand the makeup of the people attending your events.
