What happens if a teacher can't attend?

Nothing changes on its own. Families keep their bookings with that teacher until you change something, so the steps depend on how much of the event the teacher will miss.

They can't make part of the event

Use breaks to block out the times they won't be there, so no one else can book them.

Breaks can only be set on time slots that don't have a booking. If families have already booked those times:

  1. Click on Bookings in the main menu and choose the event.
  2. Filter the list by the teacher's name.
  3. Cancel each booking in the times they'll miss, using the trash-can icon. Tick the option to notify the attendee, and add a message such as which teacher they could book instead.
  4. Set breaks on the times you've freed up.

They can't make one day of a multi-day event

On the event's Settings > Staff page, change the teacher's Available dates so that day is unticked. Families can then no longer book them on that day.

Unticking a date doesn't cancel the bookings already made on it, so cancel those from the Bookings page as described above.

They can't make the event at all

Remove the teacher from the event on the Settings > Staff page. Before you confirm, you'll see how many bookings and families are affected. Removing the teacher cancels all of their bookings for the event.

Removing a teacher from an event

Tick Notify attendees about the cancellation to email each affected family, and add a message if you'd like, such as which teacher they could book instead. The email shows the family's full timetable, with the cancelled bookings marked.

Once the bookings are cancelled, those families can book another teacher while the event is still open.

Could someone else take their place?

If another teacher is covering, add them to the event, then use New Booking on the Bookings page to rebook each family with them yourself. A family can't hold two bookings at the same time, so cancel the original booking first if you're keeping the same time with the new teacher.
